Financial Services Specialist

Position: Full-Time  |  Location: Cherry Hill, NJ

What to expect

As one of those who will work directly with both clients and other administrative staff, the Financial Services Specialist is a client experience coordinator who responds to client inquires as appropriate, carries out certain transactions, and conducts outreach meeting activities. The Financial Services Specialist is instrumental in developing strong internal and external relationships, and works closely with our various product and platform resource suppliers, CPA partners and our broker-dealer, Avantax. We believe in a team-based approach using collaboration and accountability.

Position description

This position will be focused on assisting with client and prospect financial services. Some responsibilities are included below:

  • Communication: Important point of contact with clients in person and on the phone. Good writing and communication skills
  • Account Paperwork: Establish new accounts and asset transfers. Complete on-going client paperwork
  • Client Meeting Preparation: Client meeting agenda, portfolio summary reports, sending client invitations, etc.
  • Document meeting notes for those meetings you attend.
  • Passion: Have a passion for helping clients with personal financial and retirement planning!
  • Tax Season Prep: Assist the team with tax preparation items.
  • Skills: Communication, Client Centric; Initiative; Work Quality/Ethic; Relationship Building; Learning and Understanding the Business
  • System Knowledge: Microsoft Office Suite.  You will also learn other specific resource systems such as Redtail client contact, Avantax website, and other provider websites.
  • Organization: Maintain comprehensive and accurate records, documents and reports; organize meetings, including scheduling and sending reminders; and assist the team with the weekly planning of priorities.

 
Qualification Requirements

  • High School Degree or Finance Degree
  • In lieu of college degree, 2+ years of industry experience
  • In pursuit of or has desire to obtain FINRA series 6 and or series 7, FINRA Series 63 and 65 or 66, and insurance license preferred

This is a full-time position with hours Monday through Friday from 8:00 AM to 5:00 PM. During tax season, additional hours will be available. Compensation depends on experience. Wealth Management Assistant

Position: Full-Time  |  Location: Cherry Hill, NJ

What to expect

This administrative support role will be focused on the financial planning and wealth management services side of the firm, while also assisting the CPA firm’s administrative support staff during the tax season months. The Wealth Management Assistant will report to and work alongside the Director of Financial Services to manage daily client inquiries and needs, answer calls, coordinate meetings, take ownership of the CRM database, maintain correspondence and compliance records, run reports, carry out client transactions, and work closely with our financial partner companies and broker dealer. This position does require fingerprinting prior to accessing client data or financial paperwork.

Responsibilities include, but not limited to:

  • Managing the client experience by greeting clients with both verbal communication and written correspondence
  • Performing administrative tasks and completing paperwork for new client accounts and on-going client needs
  • Scheduling, coordination, and preparation of materials for client meetings
  • Maintaining comprehensive and accurate records, documentation, and reports to assure full compliance as required by board standards and our broker dealer
  • Updating CRM of all client demographic information and logging of all client interaction
  • Assisting Director of Financial Services with daily needs and requests
  • Setting up new client accounts
  • Preparing transaction and insurance applications and client consent forms for contributions, distributions, and asset transfers
  • Running and pulling reports as needed
  • Maintaining detailed compliance records and files for firm advisors
  • Attending weekly status and strategy meetings to address planning of priorities
  • Completing continued education as required by broker dealer
  • Working alongside Marketing to plan and mail/email newsletters and client marketing materials
  • Becoming thoroughly familiar with broker dealer’s systems and procedures

Requirements:

  • Excellent business communication skills with emphasis on a positive customer service experience
  • Ability to multi-task in a fast-paced environment while balancing and prioritizing daily responsibilities
  • Thorough and detail-oriented
  • Strong computer skills
  • Prior system and program knowledge a plus: Microsoft Office Suite and Redtail CRM
  • Ability to maintain confidentiality and conduct business professionally
  • Reliable and dependable with an excellent attendance and punctuality record
  • Work well independently and in a team with positive attitude and professional presence
  • Bonus: Have a passion for personal financial planning

Qualification requirements:

  • High School Degree or GED
  • Accounting and/or Finance Degree
  • In lieu of degree, 2+ years of industry experience
  • Prior background/experience in Avantax, 1st Global, SEI, a plus
  • Desire to obtain FINRA series 6 and or series 7, FINRA Series 63 and 65 or 66, and insurance license
  • Able to work flexible and/or overtime hours including Saturday’s and late evenings base upon work and peak busy times
